Officer reporting

The purpose monthly reports are there to provide a �Snapshot� of activity that has occurred within the Barony of St Florian to provide information to the citizens about growth, development and risk areas to ensure confidence in the Barony and her officers. These reports are collated by the Seneschal and published on line and can also be used to provide the quarterly kingdom report.

The reports are due three days prior to the monthly Baronial Business meeting. The report should be provided to the seneschal by email either directly or through the St Florian officer list.

The following is a guide to what type of information should be included in each report.

Seneschal

The Seneschal is responsible for overseeing all activity within the Barony and will be responsible for collating and publishing the final report on line. Further to that, they will also report on the following information.

  • Name of Seneschal and warrant period.
  • Membership
  • Recruitment, Resourcing & Retention
  • Premises
  • Projects
  • Events
  • Future Plans

Deputy Seneschal � Fighter Practice

  • Name and period
  • Financial breakdown per week of money received per Members/Non Members/Minors
  • When money was deposited
  • Whether there are any financial matters that require follow up
  • Numbers of Members/Non Members/Minors
  • If there are minors in attendance that month, their names and whether they were accompanied by a parent
  • Numbers of fencers to heavies
  • Newcomer training and average number of attendees
  • Any special classes ran and success.
  • Any needs for future development or training - such as workshops required to equip newbies,
  • Financial requests.

Reeve

The reeve is responsible for tracking and reporting on all financial activity for the Barony. Their report should include the following:

  • Name of Reeve and warrant period
  • Account details, current signatories
  • Actual Expenditure
  • Actual Income (broken into: Member/Non Member/Minor)
  • Bank balance at the end of the month
  • Cheques yet to be presented.
  • Outstanding deposits and responsible person
  • Outstanding Event reports and responsible person
  • Financial Expenditure under consideration
  • Assets (stocktake)

Arts and Sciences

Arts and Sciences officer is responsible for reporting on A&S activity within the Barony including organising and scheduling activities for the Barony at the hall.

  • Name of A&S officer and warrant period
  • Financial breakdown per week of money received per Members/Non Members/Minors
  • When money was deposited
  • Whether there are any financial matters that require follow up
  • Numbers of Members/Non Members/Minors
  • If there are minors in attendance that month, their names and whether they were accompanied by a parent
  • Classes and teachers at A&S and the success of the class
  • Any general A&S workshops happening in the Barony
  • Any A&S training needs
  • Future plans
  • Financial requests.

Constable

The constable has many areas of activity that they are responsible as outlined in the Constables handbook. The Baronial constable is to provide reports on two key areas:

  1. Events
  2. A&S & Fighter training

Report required for each event separately and for A&S/FP monthly:

  • Name of Baronial Constable and warrant period.
  • Name of constable in charge of event/A&S-FP
  • Name of constables providing assistance in providing support to the event.
  • Event name and location/s
  • Numbers of Members/Non Members/Minors that attended
  • Did each person attending sign a waiver
  • Was there a check of the site for WH&S issues (fire, glass, sharps, appropriate exit options in hall etc)
  • Were there any WH&S issues and how were they dealt with?
  • Any accidents and result of the accident (if known)
  • Any incident requiring emergency services (ambulance, police, fire brigade etc)
  • If any security patrols were required
  • Any lost property handed in

Herald

The Baronial Herald is responsible for several key areas:

  1. Submission and registration of devices for members of the Barony
  2. Tracking awards given out by the Baron and Baroness
  3. Maintenance of the Baronial Ceremonies

The monthly report should include the following:

  • Name of the Herald and warrant period
  • Updated spreadsheet outlining Submissions, Bounces, Approvals will suffice
  • Updated spreadsheet on awards received will suffice
  • If any maintenance of any ceremonies has occurred when it was published on the website
  • Event information for the month � ie Heralds on duty, highlights of court etc
  • Any items or projects for financial consideration

Marshal

  • Name of the Marshal and warrant period

For events

  • Any incidents that occurred
  • Any injuries

In general

  • Who are the authorised marshals?
  • Who are the marshals in training?
  • Who has been authorised (what format) within month period

Lists Officer

  • Name of List officer and warrant period.
  • Tourney name and location
  • Name of List Officer
  • Name of Marshal in Charge, Marshal/Marshals in training who assisted
  • Tourney style
  • Numbers of participants
  • Victor

Gold Key Officer

The person in the role of Gold Key is responsible for the maintenance and upkeep of all the equipment lent out to newcomers. They are also responsible for facilitating equipment for newcomers.

  • Name of officer and time in role.
  • List what equipment we have
  • List what sizes or equipment we need
  • List of outstanding gear.

Chronicler

The chronicler is responsible for all publications (including the website) produced by St Florian de la Riviere. This position is currently vacant.
